Renewals and reminders

Keep every date that matters for a site in one place (care plan, hosting, plugin licenses, domains) and get reminded before it comes up.

Open a site and choose Renewals in its menu. Add anything with a date: a care or maintenance plan, hosting, a premium plugin or theme license, a domain you manage elsewhere, or anything else you need to remember.

Add a renewal

  1. Click Add a renewal.
  2. Say what renews (for example “Gravity Forms license”) and pick a type.
  3. Set the next due date and whether it repeats every month, every year or not at all.
  4. Optionally add the cost and notes (account login, who pays, what to check).
  5. Choose how early to be reminded: 7, 14, 30 (the default), 60 or 90 days before.
  6. Tick Show on client reports if the client should see it coming up, and Include the cost if they should see the price too. Both are off by default.

Repeating costs add up under the list as “about $X a year” for that site.

Reminders

Once a renewal is inside its reminder window it shows under Needs you on your dashboard and in the morning report. Overdue ones are marked red, ones due within a week orange, and the rest grey.

  • Renewed moves a repeating renewal to its next date. For one that doesn’t repeat, it’s called Done and closes it.
  • Snooze hides the reminder for 1 day, 3 days, 1 week or 2 weeks.
  • Edit or delete it any time with the pencil and bin.

Adding a renewal and marking one renewed are recorded in the site’s log.

All renewals in one place

Choose Renewals in the main menu to see every renewal on every site, soonest first. At the top:

  • Repeating, per year: monthly costs times 12, plus yearly ones. Handy when you price care plans or invoice clients.
  • Due in the next 90 days: what’s coming up and what it costs.
  • Overdue: past their date and not marked renewed.

Filter by client, website, type or how soon (next 30 days, 90 days or 12 months), and tick Include SSL and domain dates to mix in the dates WP Foreman tracks for you. Renewed and editing (the pencil) work right from the list. To add a renewal, click a site’s name and add it on its Renewals page.

Ask the Foreman

Ask the Foreman can read and add renewals. Try “What renews in the next 30 days?”, “What do my plugin licenses cost a year?” or “Gravity Forms for Acme renews March 1, $59 a year”. A renewal it adds is saved straight away (it’s only a reminder) and shows on that site’s Renewals page, where you can edit or delete it. It won’t guess a date or a cost; if you don’t give one, it asks.

Tracked for you

You don’t need to add the SSL certificate or the domain registration: WP Foreman already reads both dates from the site every day and lists them under Tracked for you. Most certificates renew on their own; you’ll hear about it if one gets within two weeks. See SSL and domain expiry.

On client reports

Renewals you ticked for reports, due in the next 60 days, appear in the report’s Coming up list, for example “Hosting and care plan renews on February 2, 2027.” The cost is only shown if you ticked Include the cost. See Client reports.

Celebrate a client’s anniversary

For a Care plan, pick the year the client started in Client since. In the month the care plan renews each year, that site’s client report opens with a small celebration: a cake with one candle per year and a thank-you, for example “10 years together. Happy 10th anniversary, Baker & Vine! Thank you for trusting 465 Media with your website since 2016.” The first year and every fifth year (5, 10, 15…) get confetti too. Past 10 years the cake shows the number instead of more candles.

The anniversary uses the month and day of the care plan’s renewal date and appears in both the report and the report email. Untick Celebrate the anniversary to leave it off.
